Fax, Being Terror-Proof, Keeps Businesses Up to Speed

Fax, Being Terror-Proof, Keeps Businesses Up to Speed

First it was the Nimda worm bringing down e-mail systems.  Now, with the anthrax scare slowing down mail deliveries and causing much mail to go unopened, facsimile, a technology considered dying by many, is suddenly in increased demand.  All because fax can move documents and computer files swiftly, simply and safely.  Critically, fax offers two major benefits in the current climate of physical and cyber terrorist threats:

•                  It can deliver documents, that would otherwise go in the mail, but when faxes arrive, they can never be contaminated with Anthrax

•                  Unlike e-mail, faxes can never carry viruses.  And when e-mail- and Internet-borne viruses take down corporate e-mail systems and intranets, fax can be a save-the-day alternative for keeping business operations up and running

In no way do we mean to imply by this that people should stop using mail or e-mail.  If we could wave a magic wand and restore the safety of and confidence in the U.S. Postal Service (USPS), we would do it in a heartbeat, letting fax continue its gradual decline.

Impact of the Anthrax Threat on Mail

When the Anthrax scare first emerged, it seemed that as long as we didn't open mail with powder in it, or reacted quickly if we did, then we would be out of harm's way.  That is probably (and hopefully) still the main reality.  However, as Anthrax spores have been discovered on USPS mail sorting systems, a very tiny threat now exists that an Anthrax spore could be on any piece of mail.  The USPS acknowledged this when it told people to wash their hands after handling mail.  This very sad (and hopefully temporary) state of affairs is slowing mail delivery, increasing mail handling costs (e.g., in USPS and corporate mail rooms), causing much mail never to be opened, and making senders unsure whether mail they send has reached addressees.   Also, many government agencies, media offices and other businesses are now requesting that people send them nothing but e-mail and faxes.

Fax can provide an alternative to physical mail because it can send exact replicas of any paper documents and any computer files.  Because faxes are sent as electronic code over phone lines, no powders or anthrax spores can ever be successfully attached to them by senders.  It is physically impossible.  So, faxed documents are delivered safely and immediately, with no compatibility issues (unlike e-mail attachments), and via phone calls that cost just pennies.

Impact of Cyber Viruses on E-Mail

When Nimda hit the Internet the week after the September 11th terrorist attacks, millions of web and e-mail servers were infected and, by some estimates, businesses suffered more than $4 billion in damages.  Even many large corporate e-mail systems were down for days or weeks, slowing business to a crawl.  E-mail is a fabulous communications medium, but no business can any longer assume that it will almost always be available.

When e-mail and Internet systems go down, though, fax is always an alternative because it uses phone lines instead of the Internet.  Fax machines always continue to work because they operate on a self-contained basis.   Fax servers and services, which can broadcast personalized documents to hundreds, thousands and even millions of recipients on a completely automated basis, never share in the spreading of cyber viruses because the attachments they send are images.  These image files simply code pictures according to black-and-white dots and contain no scripting languages.  There never has been and never will be a case of a virus being spread by fax.

Fax Revives Again

No one could have predicted that fax would end up being a weapon in the war against terrorism.  But with its quick, safe, affordable and never-even-think-about-it compatibility, fax can help businesses keep up to speed despite any terrorist threats.  We don’t mean to encourage people not to use mail or email, merely to remind that people that fax is worthy of consideration as a complementary document delivery option.

A wide range of fax solutions are available:

•                  Fax machines, which let you send and receive hardcopy

•                  PC fax software, which lets you fax any computer file.  You can also receive faxes on your PC (if you leave it on) and read them on the monitor or print them as hardcopy

•                  Fax servers, which enable everyone on a business network to have 24 x 365 computer fax capabilities, but without the expense of having fax phone lines to each PC.  Fax servers also can integrate with corporate e-mail systems

•                  Fax services, which can let you receive faxes directly to your e-mailbox, fax out computer files, and outsource the kinds of capabilities that fax servers otherwise provide in-house (and potentially can sends tens of thousands of faxes in just minutes)
